Who looks after your data

Aspirion Ltd, trading as Safarly (company number 15852545, 2 Elmtree Road, Sutton Coldfield, England, B74 3RY), is the "controller" of your personal data. Contact: hello@safarly.co.uk.

What we collect

Only what we need to help with your trip: your name, phone or WhatsApp number, e-mail, travel dates and destinations, number of travellers and anything you choose to tell us. When you book, we also need the passenger details that airlines and hotels require.

If you open an account

An account lets you see your enquiries and talk to us in one place. For it we keep:

  • Your name, e-mail and phone number, and a scrambled (hashed) copy of your password. We can never see your real password.
  • Your enquiries and support requests ("tickets"), and our notes about them.
  • Chat messages between you and our team, and any photos, documents or voice notes you send in the chat.
  • A record of website calls with us: who called, when and how long.
  • Call recordings, only if we record calls. We record website calls, for training, quality and record keeping.

We use this to answer you, run your trip and keep a clear record of what was agreed. Only our staff who need it can see it, and access to calls and recordings is limited to people our management allows.

Why we use it
  • To answer your enquiry and send quotes (steps before a contract).
  • To make and manage your booking (to perform our contract with you).
  • To keep business and tax records (legal obligation).
  • To run your account, chats and calls, and to check the quality of our service and settle any disagreement (our legitimate interests, and our contract with you).

We do not sell your data and we do not send marketing unless you ask for it.

Who we share it with

Only the airlines, hotels, booking partners and service providers needed for your trip, and our IT providers who host this website and our e-mail. Some suppliers are outside the UK; when this happens we use the legal protections the law requires.

How long we keep it
  • Enquiries that do not lead to a booking: deleted within 24 months.
  • Booking records, and the messages and tickets about a booking: kept for 6 years for tax and legal reasons.
  • Your account, chats, files and call records: kept while your account is open. When you ask us to close it, we delete them within one month, except anything we must keep for a booking (see above).
  • Call recordings: deleted automatically after 90 days.
Cookies and how we count visits

We do not use Google Analytics, advertising cookies or any outside tracking company. We count visits with our own small program on our own server, so what we record never leaves us.

What we record about a visit:

  • The date and time, your IP address, and the country and city worked out from the IP address (using a database stored on our server, so nothing is sent out).
  • Your device type and model, system, browser, screen size and language.
  • Where you came from (for example Google, Facebook, WhatsApp, an advert or a direct visit).
  • The pages you open, in order, how long you stay and how far you scroll.
  • What you tap or use: buttons, packages, searches, forms you open or send, WhatsApp and call buttons, and the website chat.
  • A random visitor number kept in a cookie (called sfv), so we can tell when you come back. If you give us your name, phone or e-mail (in an enquiry, a chat or a booking), we link it to this record so we can help you better.

What we never record: anything you type into password, card, passport or ID fields, or the words you type into other boxes before you send them to us. We only see what you send us on purpose.

Why: to see which pages and offers help people, fix problems, keep the site safe and answer you better (our legitimate interests). In the UK and the EU/EEA we ask you first, and nothing is recorded or stored until you press Accept. If you press "No thanks", we record nothing. Your browser's Do Not Track or Global Privacy Control setting is also respected.

How long: detailed records are kept for 13 months and then deleted. Totals that cannot identify you (for example visits per day) are kept for longer. We never sell this information.

Other things stored in your browser: sf_consent remembers your cookie choice; sf_s keeps the same visit together across tabs; sf_help keeps your place in the website chat (strictly needed for the chat to work, so no consent is needed); sf_noc is set only on our staff's own computers so their visits are not counted.

Website chat: messages, names and contact details you give us are kept to answer you and to keep a record of what was agreed. Photos and files you send are stored in a private place on our server (never public), and each file is encrypted. Please do not send card numbers or passwords in the chat.

To change your mind, clear this website's data in your browser, or e-mail hello@safarly.co.uk and ask us to delete your records.

Your rights

You can ask to see, correct or delete your data, object to how we use it, or ask us to limit it. To close your account and delete your data, e-mail hello@safarly.co.uk from the e-mail address on your account, or send us a message from your account. We reply within one month and tell you if we must keep anything (for example booking records) and why. If you are unhappy, you can complain to the Information Commissioner's Office (ico.org.uk).
